When to use a VAT invoice

Use this template if your business is VAT registered. Every invoice you issue for taxable supplies must show:

  • Your VAT registration number
  • The VAT rate (usually 20%, sometimes 5% or 0%)
  • Net, VAT and gross totals shown separately

  • When do I need to use a VAT invoice?

    If your business is VAT registered, every invoice you issue for taxable goods or services must be a VAT invoice. It must include your VAT registration number, the VAT rate, and a separate net / VAT / gross breakdown.
  • What's the difference between a VAT invoice and a regular invoice?

    A VAT invoice shows the VAT rate applied, the VAT amount, and the gross total separately. A non-VAT invoice (used by businesses below the VAT threshold) shows a single total without any VAT breakdown.
  • Do I need to show VAT on every line?

    You can either show the VAT rate and amount per line, or apply a single rate to the whole invoice and show the total VAT once at the bottom. Both are accepted, as long as the VAT amount is clearly visible.
  • Can I download this VAT invoice template as a PDF?

    Yes. Click 'Download PDF' to open your browser's print dialog and save the invoice as a PDF.
  • What VAT rate should I use?

    Most goods and services use the standard 20% rate. Some items qualify for the reduced 5% rate or 0% rate. Check GOV.UK if you're unsure which rate applies to your business.
